Privacy Notice                                            

The League of Friends of Horsham Hospital data protection policy covers the subject of accumulation, storage and destruction of all data pertaining to people or persons within and without the organisation

Data collected is subject to the following conditions:

All names, addresses, telephone numbers and email addresses and where applicable bank details of donors are retained by only members of the organisation for the following purposes:

  •         To enable us to provide a voluntary service for the benefit of the public visiting Horsham Hospital and also staff 
  •         and residents of the hospital
  •         To administer membership records
  •         To fundraise and promote the interests of the organisation
  •         To manage volunteers
  •         To maintain our own accounts and records (including the processing of gift aid applications)
  •         To inform you of news, events and activities appertaining to the League of Friends of Horsham Hospital in which
  •         you may be interested

It should be noted that:

       a)     Records which are maintained digitally are held on files which are password protected and only members of the

               League of Friends who are organisational are party to the password.

      b)     Records which are maintained in hard copy are kept either in locked filing cabinets or in a locked room and access

              restricted to a need to know basis.

      c)     Records concerned with Gift Aid application are held in hard copy by the Treasurer alone in secure premises.  No 

              other persons have access to these.

Destruction of Records:

      a)     Gift Aid records are kept for the legal minimum of 6 years and then shredded.

      b)     Other identifiable records, eg Names combined with addresses etc are analysed every 3 years and those no longer

               required destroyed.

Your rights and your personal data.


Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:

        The right to request a copy of your personal data held
  •       The right to request that the League of Friends of Horsham Hospital corrects any personal data if it is found to be 
  •       inaccurate
  •       The right to request your personal data is erased.
  •       The right to withdraw your consent to the processing at any time
  •       The right to object to the processing of personal data
  •       The right to lodge a complaint with the Information Commissioners Office

Further Processing

Should we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions.  Where and whenever necessary, we will seek your prior consent to the new processing.
